Meeting Room Policy

As part of its service to the community, the Houston County Library System provides meeting rooms for use by individual groups and/or organizations.  This space is designated for Library sponsored programs, Library co-sponsored programs, community group activities, local organizations, city governments and Houston County government.  Programs held in the meeting rooms are provided as a public service and are not endorsed or sponsored by the Library unless specifically advertised as such.

The library facilities shall not be used for any commercial activity unrelated to a program or exhibit which falls within the normal scope of authorized Library functions.  For example, an author giving a presentation about his or her work or works may offer that work or those works for sale to those in attendance at the function, or an artist, with paintings or other works of art on exhibit, will be permitted to indicate that the object or objects are for sale.

Meetings, events, programs or activities that might disturb regular Library operations shall not be permitted.  If a meeting or event in progress does disturb regular library operations, the Library reserves the right to immediately terminate the meeting or event.  The group, upon notification of a disturbance, shall immediately discontinue the disturbance or vacate the premises and property.

1.  Library Use

NOTE:  LIBRARY PROGRAMS SUCH AS STORY TIME ETC. WILL RECEIVE PRIORITY.

2.  Reservations and Deposits

Reservations for use of the meeting room can be made no more than two (2) months in advance of the desired date.  Reservations may be taken over the phone; however, applications must be signed in advance of the meeting.  A DEPOSIT OF $25.00 MUST BE MADE.  THIS DEPOSIT WILL BE RETURNED IMMEDIATELY AFTER THE MEETING AFTER THE STAFF HAS INSPECTED THE ROOM.   The Library cannot guarantee a regular meeting place for an organization.  Organizations may not reserve the room more than one meeting in advance.  As a community resource, this room should not be monopolized by just a few.  All meetings are open to the public. 

3.  Capacity

Seating for the room in Warner Robins is 55, Centerville 40, and Perry 46. A slip of paper giving the number of people attending the meeting must be left in the room.  This is for our state annual report figure of how many people use this room on an annual basis. 

4.  Rules

  • No Smoking in the building.
  • No alcoholic beverages may be consumed on Library property.
  • No Food or beverages in the building.
  • The library is NOT RESPONSIBLE for any materials, equipment, supplies, etc. owned or exhibited by a group using the room. 
  •  The library shall not be used as a mailing address for any group.
  • No admission charges for any program may be made by the sponsoring organization.  A fee for workshop materials must be made known to both the public and the library in advance. 
  • No individual or organization may use this room for personal profit.
  • IMPORTANT:  It is the responsibility of the group members to restore the room to the condition in which it was found.  This means tables and chairs are to be restored to the storage areas. Any damages done to the room will be charged to the group or organization using the room.  This includes having the carpet cleaned if the group leaves it with stains. The person making the reservation for the room is responsible for seeing that these damages are paid.
  • The room may be used ONLY when the library is OPEN.
  • There must be an adult in the room when used by a group under 18 years of age.

5.  Equipment

Groups may use the Library’s television, VCR and/or DVD player only, and only upon advance reservation with the head librarian at the branch being used.  Groups are permitted to bring their own A-V equipment.
